Pulling Off a Large-Scale Hybrid Event

The 100,000-square-foot Caesars Forum grand-opening highlighted our tiered approach to a safe and interactive hybrid guest experience for all comfort levels! With thanks to our client trusting our team and saying yes to a live event, we were able to use our hard work and creative solutions to produce an annual partner meeting that featured 130 guests in person, and 900 guests virtually, serving as a template for future hybrid events as live events continue to make their comeback!

Special Event Decor Themes – Colorful Colorado

If you’re from Colorado or visit regularly, you know the only thing consistent about the weather is that it’s always changing! So, Imprint Group provided a seasonal tour of Colorado for our visiting client and their 3,500 attendees at Mile High Stadium, home of the Denver Broncos Football Club. Utilizing both the East and West club levels, we turned each concourse into a unique seasonal experience. Thus, as guests walked from concourse to concourse, they walked through a full year of the Colorado seasons!

Entertainment Revolution

Secret Direct, an international direct marketing cosmetic company approached the Imprint Group with the challenge to engage over 3000 attendees from all over the world throughout their 3-day conference in Phoenix, Arizona. Highlighting their conference theme of Revolution was a must.  With a cast of 6 drummers, 4 singers, 2 aerialists and over 20 dancers the Imprint team created five different customized performances throughout the three day conference.  Supported by video elements and customized messaging these wow moments left the audience on their feet time and time again.

Best of Colorado Festivals

How do you take 1,800 guests to every major festival in Colorado in just one night? Easy, you bring those festivals to them!  A spacious city park was the perfect backdrop for guests to enjoy cultural performances, distinct menu selections, native beverages and numerous entertainment elements.  A local favorite took center stage at the “bluegrass” music festival, while an Olympic trampoline troop wowed guests with their high energy, high flying X-Games style performance.  Strolling characters, interactive games and photo stations brought an intimacy to the event providing a memorable one-on-one experience for attendees from over 60 countries around the globe.

“The Classics – Reimagined”

“The Classics – Reimagined” theme truly transported the University of Denver’s guests into a grand library, showcasing traditional art forms in new ways.  Imagine pages of a book, hand-crafted to serve as the charger at each place setting, faux stacks of books lining the perimeter walls, bars that looked like bookshelves, stacks of books as centerpieces and a chandelier dripping with book pages – all contributing to the regal, classical feel of the event.  With over half of the elements created custom just for our event, our creative approach to this difficult concept created countless “wow” moments for attendees throughout the night.

Rock N’ Roll Ball

For the seventh consecutive year, our team has had the privilege of working with National Jewish Health for their annual Beaux Arts Ball. Every year we provide entertainment and creative services centered around a specific theme, and this year the theme was Rock N’ Roll. Over 1,000 guests attended this exclusive, high profile fundraising event that took place during the evening in the Centennial Ballroom of the Hyatt Regency Denver.

Winter Wonderland of Tours

Converging on Vail, CO from around the globe, Imprint Group created a customized winter tour program for nearly 100 high-tech incentive trip winners enjoying a week long Rocky Mountain experience.  The first class ski program catered to all abilities with private fittings, organized group lessons and private guides for the more advanced.  Variety was important for non-skiers as they enjoyed outdoor activities such as snowmobiling, dogsledding and hot-air ballooning, while those not as adventurous partook in confections classes, spa services and shopping!  The vast assortment of tour options kept everyone on the go and experiencing the destination’s very best!

FOCUS on Transportation

For SEEK2015, Imprint Group sourced, planned, strategically routed and managed a total of 4,733 students on 87 buses originating from 55 campuses across the US all descending on Nashville, TN.  Coaches journeyed from as far as Colorado and Connecticut tallying 76,513 miles traveled. The longest trip originated from North Dakota – more than 20 hours drive time each way, while the largest caravan included seven motorcoaches in sync from Nebraska.  Working around the clock, all buses converged into a well-choreographed four-hour arrival window on New Year’s Day.  Then we turned around and sent them all home again safely just four days later!

Ignite Production

“Ignite” wowed guests with an unrivaled production and technical entertainment experience.  Five screens, including squared “live canvas” feeds bookended the 1920×1080 screens, simulating a widescreen without added expense.  Slow burning flame animation and a multitude of fire effects further enhance the “ignite” theme.  Incorporating both flamethrowers and CO2 cannons, required three fire department officials onsite at all times.  Various entertainment acts on stage tied it all together and included flamethrowers, cirque-style acts using fire elements and singers utilizing songs that relate to “fire” and “flame.”  The event energized the team so much, they in turn became an “ignited” sales force.

Final Night Gala

Imprint Group’s challenge was to out-do the previous year’s final night gala. Since this event was in Colorado, the theme became a two-part event. The first part of the evening highlighted daytime in Colorado in the summer. Production elements, entertainment, décor and such all matched the theme as applicable. Video, graphics and media elements on screen highlighted Colorado in the summer and highlighted all there was due. The room even had a sunrise. Then in an instant, the room was transformed to Colorado in the winter. The room turned white, the sun set and the moon and stars came out and yes, it even snowed. Couple that with transformation on screens, with entertainment and décor and to even change the temperature of the room and add wind bursts, this event was produced to impact the attendees physically, emotionally and mentally and touch all their senses.

Teambuilding Challenge

Imprint Group’s challenge was to develop a a fun teambuilding experience for 150 pharmaceutical sales reps having their annual conference in New Orleans. The experience was also tasked with giving back to the community that was devastated by Hurricane Katrina. Imprint Group created an Amazing Race Team building Challenge down the French Quarter right in the heart of New Orleans. Challenges included teams building children bicycles, to setting up care packages. As a company Ortho-McNeil donated over eight thousand dollars worth of supplies, care packages and bicycles to families in the community. They created such a great relationship with the community that as a team they decided to return to New Orleans the following year and participate in the exact same teambuilding challenge.

Conference Communications

Imprint Group’s challenge was to create a conference app where attendees can go online and retrieve valuable information about the conference via smartphones. We worked closely with the meeting planning team at AFFLINK and came up with an app specific to the conference that included conference agenda, local information and attractions, hotel specific information including maps and diagrams, speaker bios, housekeeping notes and any other pertinent information. Our team worked with our client to provide instant updates on any changes as applicable.

Imprint Group’s challenge was to provide Archstone-Smith’s top performers with as many choices of recreational activities as possible with considerations of varying ages, gender and athletic ability. We coordinated the following optional activities – including advance sign-ups, on-site management, round trip motor coach transfers and professional staffing:

Special Carnivale Event

Imprint Group created a Latin Carnivale event for Fidelity Latin Carnivale that captures the energy of Florida’s Cuban/Latin clubs that sunny South Beach is known for…in Denver! The 700 guests let loose during this glamorous evening surrounded by signature white linens, sleek white-lit bars, chic white palms, throw pillows and lounge areas punctuated by Cuban influenced sexy reds and oranges throughout the space. The wall-mounted buffets were even highlighted as part of the decor of the event. The look and event design was integrated with the flair and entertainment of a Street Festival or Carnivale theme. Guests were greeted by an event host and cabana girls.Entertainment included a DJ, karaoke, casino games, a Latin band, cigar roller, oxygen bar and topped off with a Flamenco Show.

National Sales Meeting

Yahoo! approached Imprint Group to produce their annual sales meeting at the Biltmore Hotel and Resort in Phoenix. The challenge was to take the event out of the norm and utilize a sleek stage design that encompassed a blend system, picture in picture and the ability to manage digital and video media in widescreen format throughout the conference.

Imprint Group’s creative team created a unique soft stage set that created a dynamic “live” stage that worked well for all sessions and final night gala needs. The media, creative content and animation helped keep the stage alive and speakers were able to truly transform their presentation and content material in a way to keep the attendees focused and engaged.

Innovative Special Event Design

EMS Software is the leading provider of meeting and room scheduling software. As they merged with a new company and set out to rebrand, they called on IMPRINT to help. They wanted a conference that would reflect the changes in the company and showcase their new vision and technical products. We re-vamped the general session to be impactful, meaningful and exciting with movement, color branding, messaging and innovative visuals. We transformed their traditional sales space into an “Innovation Lab,” a place where sales and clients could collaborate and get excited about the innovative products being launched. Branding elements were created and incorporated throughout the space to reinforce for attendees the growth and excitement around the new company.

Custom Entertainment for Convention & Meetings

LabAnswer wanted a unique experience for their convention guests, but had a small budget to work with. The IMPRINT team identified several, smaller entertainment options that would elevate their event, but not break the bank! As guests entered the event they were welcomed by our “Lab Coat Greeters” who offered them a “test tube shot,” concocted specially by a mixologist. Once guests were settled in, our “Lab Coat Drill Team” performed in a stomp style format, carrying branded clip boards, wearing custom lab coats and sang a customized song that included funny examples of what the attendees deal with on a daily basis at their jobs. Loaded with science acronyms, high energy dancing and singing to favorite pop tunes, this drill team had the attendees on their feet having the time of their lives!

Transportation

IMPRINT was approached by a third party event group requesting our expertise in providing transportation for a group of 2,000 guests for a private event at a local Orlando theme park. There were several challenges that required our years of transportation experience including limited holding space for guests prior to departure from the hotel, inadequate staging space for the number of buses needed and a short timeframe to execute the transfer. We managed the challenges through an extensive staffing plan so each bus and each group of attendees for each bus were handled personally and directed properly. The result – 40 motorcoaches loaded in 25 minutes!

Teambuilding

Pak Mail was hosting their annual sales conference and wanted to incorporate a fun element into their agenda. They had never participated in a formal teambuilding and called on IMPRINT to help. The IMPRINT creative team proposed Margarita Madness, a teambuilding that incorporates cooperation, creativity, leadership and a healthy dose of competition as teams work to create the ultimate margarita, eventually judged by a certified mixologist. By incorporating the appropriate amount of alcohol in a structured environment, guests were able to relax and interact with employees that may not have otherwise known. Pak Mail was thrilled and reported that while the activity was fun, the camaraderie that was created lasted throughout the conference!

Tradeshow Design & Brand Conference Decor

Allergan, one of the leading cosmetic lines in the world, called on IMPRINT as they prepared for their upcoming Brand Conference. They wanted a design for their tradeshow space where each line of cosmetics or skin care would be especially featured and abide by their brand style guides. A major challenge was the restricted use of any alternative color to those of their actual products or brands. Meaning no dyed linens or florals that didn’t compliment their company image. Our décor team worked diligently to understand each product line, its color and style, to create distinct spaces for each. The result was a coordinated, cohesive, high-end brand showcase.

Event Spotlight: Last Minute Logistics Change

A long term IT client had confirmed a venue for their annual Winners Circle event. Later, their budget was slashed and they found themselves with a venue they could no longer afford with 60 days until event day. Because we have great vendor relationships and a multitude of clients looking for unique spaces, the Imprint Group team was able to re-book the initial venue for another client and find a new, more reasonably priced space for our IT client. The new space was a private airplane hanger getting ready to close down for the season who agreed to discount the rental cost for our client. As an added bonus, we added a “007” theme, meaning the jets being stored in the hangar became a part of the décor for the event. The result was a unique event and more than $15k in savings for our client.

Night Kayaking in Orlando, Florida for a Unique Experience

Guests wanted to explore a side of Orlando that not many tourists would know about. They were willing to move their tour to an evening event after a great beachside dinner and embark on one of the coolest hidden treasures (not any more) Orlando has to offer. Our bioluminescent tours! During the summer months very specific lagoons come alive after sunset with Bioluminescence. Mullets look like swimming green bottle rockets going off underwater, a manatee or stingray gives more of a ghostly glow to the illumination and when swirling your kayak paddle or drop your hand into the water, you can create wild patterns of light. The best time to go is at the darkest hours of the night to get the true “bioexperience”

Private Beach Reception

When coming to Orlando, most people don’t want to be inside a ballroom but wish they could be on the beach or near water enjoying all that Orlando has to offer. This client wanted just that! Instead of taking the beach to the guests, we took the guests to an actual beach… better yet, their own private island! Sand artists, volleyball games lead by our surfer girls, tiki torches, island music and food themed around our island flavor, this was an all- time favorite welcome reception for this group.
